A change in accounts can be the start of a scam.

How invoice fraud works and why it's so difficult to detect

Cybercriminals infiltrate genuine communications between companies and vendors to alter legitimate invoices and redirect payments to accounts they control.

A small detail, such as an altered account number, can have significant financial consequences if not detected in time.

How do cybercriminals act?

They send emails from domains that look trustworthy

Scammers access the victim's mailbox or use addresses obtained through other means. Then, they send messages from previously purchased domains that mimic real providers in which they request payments or information on invoices.

They identify the right moment

If they have access to the inbox and digitised invoices, they wait until a payment deadline approaches or a pending invoice is shared to act precisely.

They modify the bank account on a real invoice

If they have access to the digital invoice, they alter it, keeping its original design but changing the account number. If not, they send an email that pretends to be legitimate and asks that future payments be made to a new IBAN.

They send the message from a fake or compromised account

They pretend to continue the previous conversation and send the altered invoice as if they were the original vendor.

They pretend to validate the change if anyone questions it

If you reply to the fraudulent email, the scammer answers by impersonating the vendor. In addition, they often attach a fake bank account ownership certificate for added credibility.

But if you try to confirm the change by calling the usual phone number, you won't get an answer from the scammer.

Details that should make you suspicious

Change in bank accounts with no prior notice.

Email address with slight variations.

Signature or wording different from usual.

Tips to prevent invoice fraud

  • Confirm any bank changes through an alternative channel, such as by calling the vendor's usual number.
  • Check email addresses carefully in all sensitive exchanges.
  • Set up an internal double verification protocol before making important payments.
  • Train the team on identifying signs of fraud and best practices.
  • If you receive a bank account ownership certificate, always check that it is digitally signed and that the signature is valid and legitimate.
